3. Personal data we may collect
3.1 Information you choose to provide
If you contact us by email, telephone, WhatsApp, another messaging service, social media or another public channel, we may receive your name, contact details, organisation, job title, the content of your enquiry, attachments you provide, and any other information you choose to share. For WhatsApp communications, this may include your telephone number, WhatsApp profile name and profile information you make visible, message and media content, message identifiers, timestamps, delivery or read status, language, opt-in or opt-out preferences, and support or service history. If you send a business proposal, supplier enquiry, partnership request or job application, we may also process information relevant to that communication.
Please do not send passwords, payment-card information, government identification numbers, financial account credentials, health information or other sensitive personal data unless we specifically request it through an appropriate secure process.
3.2 Technical and usage information
When you access the website, our hosting, content-delivery and security infrastructure may automatically process limited technical information, such as your Internet Protocol address, browser and device type, operating system, requested pages and files, referring page, date and time of requests, approximate location inferred from an IP address, and security or diagnostic events.
3.3 Information from third parties
We may receive personal data from publicly available sources, professional advisers, service providers, business partners or other persons where this is relevant to an enquiry or a legitimate business relationship and the collection is permitted by law.
4. How and why we use personal data

| Develop and manage business, supplier, recruitment and partnership relationships | Contact, organisation, proposal or application information | Legitimate interests; steps before contract; contract where applicable |
| Operate, secure and troubleshoot the website | IP address, device, request and security data | Legitimate interests in reliable and secure services |

| Provide WhatsApp business messaging, support and permitted notifications | Phone number, profile, messages, media, message status and preferences | Consent where required; steps before contract; contract; or legitimate interests, depending on the message |
Where we rely on legitimate interests, we consider whether our interests are necessary and proportionate and whether your rights and interests override them. Where we rely on consent, you may withdraw that consent at any time without affecting processing already carried out lawfully.
5. Cookies and similar technologies
At the date of this notice, the corporate website is intended to operate without analytics cookies, advertising cookies, tracking pixels or session-recording technologies. Our hosting and security providers may use technologies that are strictly necessary to deliver the website, maintain network stability, prevent abuse or provide security features.
If we introduce analytics or another non-essential technology, we will update this notice and, where required, ask for your consent before activating that technology. You will be given a clear way to accept or reject non-essential cookies and to withdraw consent.
6. WhatsApp Business messaging
If you contact us through WhatsApp, or validly ask us to contact you there, we will process your information to respond to your enquiry, provide support, manage the relevant business or product relationship, deliver requested or permitted service notifications, keep appropriate records, maintain security and comply with law. We may use automated tools to route messages, identify the subject of a request or prepare responses, with human involvement where appropriate. We will not use a solely automated decision based on WhatsApp data to produce legal or similarly significant effects unless permitted by law and accompanied by required safeguards.
WhatsApp and Meta provide the communications platform and may process message, account, device, usage and technical information under the terms and privacy notices applicable to their services. Depending on our implementation, an approved Business Solution Provider or other communications provider may also process messages on our behalf. The final provider list and relevant transfer safeguards will be maintained by Zuka Solutions and made available where required.
We will send business-initiated marketing messages on WhatsApp only where we have an appropriate opt-in or another lawful permission and the message is allowed under applicable WhatsApp policies. You may opt out of marketing messages at any time by replying "STOP", asking us not to message you, or contacting hello@zuka-solutions.com. An opt-out will not prevent service or security communications that are necessary, requested or otherwise permitted by law.
Do not send passwords, personal identification numbers, one-time passcodes, full payment-card details, bank-login credentials or unnecessary sensitive personal data through WhatsApp. If a secure process is required for a service, we will direct you to the appropriate channel.
7. When we disclose personal data
We may disclose personal data only where reasonably necessary to the following categories of recipients:
- hosting, content-delivery, cybersecurity, email, WhatsApp/Meta, approved business-messaging providers, communications and information-technology service providers acting for us;
- professional advisers, including lawyers, accountants, auditors and insurers;
- regulators, courts, law-enforcement bodies or public authorities where disclosure is required or permitted by law;
- a prospective buyer, investor, lender or transaction adviser in connection with a genuine corporate transaction, subject to appropriate confidentiality safeguards; and
- another person where you have asked us to make the disclosure or have otherwise validly consented.
We do not sell personal data. We require service providers acting as processors to use personal data only on our documented instructions, keep it secure and comply with applicable data-protection requirements.
8. International transfers
Some service providers may process or store personal data outside Nigeria. Before making a cross-border transfer, we will use a transfer mechanism permitted by the Nigeria Data Protection Act 2023, such as a transfer to a jurisdiction with an adequate level of protection, appropriate contractual or organisational safeguards, or another lawful exception. You may contact us for information about the safeguards relevant to your personal data.
9. Retention
We retain personal data only for as long as reasonably necessary for the purposes described in this notice, including security, legal, accounting and reporting requirements. The proposed operating schedule is:
| Record | Proposed retention period or criterion |
|---|---|
| Ordinary enquiries and correspondence | Up to 24 months after the last substantive interaction |
| WhatsApp message threads and support history | Up to 24 months after the last substantive interaction, unless a shorter or longer period is required for the relevant service, dispute or law |
| WhatsApp consent and opt-out records | As long as reasonably needed to demonstrate permission and honour the recipient's preference |
| Routine technical and security logs | Up to 90 days, unless needed for an active security investigation |
| Contract, transaction or corporate records | For the relationship and the period required by applicable legal, tax, accounting or limitation requirements |
| Legal disputes and regulatory matters | Until final resolution and expiry of relevant retention or limitation periods |
| Consent and privacy-request records | As long as reasonably needed to demonstrate compliance and honour the request |
We may securely delete or anonymise information earlier where it is no longer needed. Anonymised information that can no longer identify an individual may be retained for statistical, security or operational purposes.
10. Security
We use reasonable administrative, technical and organisational safeguards designed to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access. These measures may include access controls, service-provider due diligence, secure configurations, encryption where appropriate, backups, monitoring and incident-response procedures. No online service or transmission method can be guaranteed to be completely secure.
11. Your data-protection rights
Subject to applicable law and any lawful limitations, you may have the right to:
- be informed about how your personal data is processed;
- request confirmation of processing and access to your personal data;
- request correction of inaccurate or incomplete personal data;
- request deletion of personal data in appropriate circumstances;
- request restriction of processing in appropriate circumstances;
- object to processing, including processing based on legitimate interests and direct marketing;
- withdraw consent at any time where processing is based on consent;
- receive or request transfer of eligible personal data in a structured, commonly used and machine-readable format;
- not be subject to a decision based solely on automated processing where that decision has legal or similarly significant effects, subject to lawful exceptions; and
- lodge a complaint with the Nigeria Data Protection Commission.
To exercise a right, email hello@zuka-solutions.com with the subject line "Privacy Request". Please describe your request and provide enough information for us to identify the relevant records. We may request proportionate evidence of identity or authority before acting. We will respond within the period required by applicable law and will explain any lawful reason why a request cannot be fulfilled in full.
You may contact the Nigeria Data Protection Commission throughndpc.gov.ng. We would appreciate the opportunity to address your concern first, but this does not limit your right to complain to the Commission.
12. Children
The corporate website is intended for a general business audience and is not directed to children. We do not knowingly use the website to collect personal data from persons under 18. If you believe a child has provided personal data to us through the website or its published contact channels, please contact us so that we can assess and, where appropriate, delete the information.
13. Automated decision-making
We do not use personal data collected through the corporate website to make decisions based solely on automated processing that produce legal or similarly significant effects.
14. Third-party websites and services
The website may link to websites or services operated by other organisations, including the separate Zuka product website and social-media platforms. Those organisations determine their own processing practices. Their privacy notices, not this notice, apply when you visit or use their services. We encourage you to review them before providing personal data.
15. Changes to this notice
We may update this Privacy Notice to reflect changes in our website, operations, providers or legal obligations. The revised notice will be posted on this page with a new "Last updated" date. Where a change materially affects your rights or our use of personal data, we will provide additional notice where required by law.
